Subordination/superposition:
- Statement: Head of Organization and Processes
Objectives:
- Relieve the burden on heads of departments and divisions through additional work
- Ensuring the smooth functioning of the department’s secretariat
Actions:
- General secretarial duties, such as appointments including telephone service, incoming and outgoing mail processing, materials management, organization as well as pre- and post-processing and independent preparation of events and meetings (eg regional meetings, internal and external events and workshops).
- Communication with internal and external partners
- Independent collection or integration and coordination of relevant information and documents from various sources on specific questions
- Independent preparation of appropriate event forms
- Participation and support in the implementation of measures and projects (doing preliminary work and support including coordination and communication)
- Conducting research to prepare decisions, preparing analyses, decision templates and presentations on behalf of and in coordination with department management for various target groups
- Participation in the creation and preparation of board and committee templates
- Creation and preparation of documents, presentations, statistics and reports including follow-up work on appointments
- Support with budget management and planning including invoicing management and controls as well as scheduling and planning further training steps
- Supports special activities and tasks for department, department and group leaders by arrangement
- Independent implementation of quality assurance measures (processing of audit results, board applications, steering committee documents, etc.)
- Representation of department assistant 15
Directions:
- Support department, department and group management of the department
- Interface and first point of contact for internal and external contacts
Specific challenges:
- High reliability and self-organization
Professional requirements:
- Commercial training and additional certification or a completed bachelor’s degree
- Excellent skills in dealing with common MS Office applications including PowerPoint

- Good understanding
