Tips for Managing Employee Data in Organizations: People, Process, and Technology

Recently, “data”, especially a person’s personal data, has become a very high public focus, especially with the frequent leaks of personal data in several places which resulted in the issuance of the Law on Personal Data Protection (PDP) by the Government.

How important is data for each person personally, for a company, for a community and others? To answer these questions, on this occasion, I will share tips on how to manage employee data in an organization or company.

The process of managing this data includes how to process, store, send and delete it. It needs to be understood that to obtain data of good quality, 3 (three) elements are needed that support each other in data governance, namely: People, Processand Technology.

People

Before going further, discuss the importance People In this discussion, let’s check together through the following questions:

  • Already in an organization or company it has a special function as data steward who handles/manages employee data (employee data)?
  • Are people inside the function data steward Do you have a good understanding of employee data management?
  • Besides data stewardwhether an organization or company has appointed or determined who will be data owner, counterpart, technical steward regarding the management of employee data?
  • Is every function that gets role do they have the same understanding regarding the process of managing employee data?

So, that’s enough of an answer, yes, whereabouts”people” in relation to data governance so that the data it manages has good data quality.

An organization or company will be helped by managing employee data well if it can allocate some human resources to a special function that handles/manages employee data, which is called data steward.

To maintain good quality employee data, an organization or company must also be able to allocate other resources to help employees data steward have understanding and knowledge in terms of data governance (data governance) competently, including how to keep employee data safe and avoid data leaks, namely by providing training or course associated with data management.

As a form of sustainable effort, training or course similar can also be given to para data owner, counterpartand technical steward with the aim of having the same understanding and knowledge regarding employee data governance.

Process

Second thing aside People which can influence the good or bad of data quality is “Process“. How is it related? Let’s check again through the following questions:

  • Does an organization or company have rules and mechanisms regarding employee data governance?
  • Have employee data managers processed employee data in an organization or company in accordance with established rules?
  • A data manager will not be able to carry out his duties optimally in terms of managing employee data if he is not equipped with clear policies, rules and mechanisms on how to manage and maintain good quality employee data. For this reason, an organization or company is obliged to provide a qualified guide to assist data managers in managing all employee data. These guidelines can be in the form of employee data management policies/rules that are equipped with clear mechanisms.
