The circulation of electronic documents in Latvian companies is gradually gaining ground, but it is still quite rare. Only 17.2% of companies tend to receive invoices and delivery notes in a machine-readable format, which a computer program can process without human help, according to a survey conducted by Jumis Pro, the developers of the Jumis business management system.
Despite the fact that e-invoice solutions have been available in Latvia for several years, companies are slowly transitioning to digital documents. Digital solutions such as computer-prepared documents in PDF, XLS, DOC or JPG format are still used for sending invoices and delivery notes, and documents printed on paper and sent in an envelope or brought in person have not disappeared.
90.9% of all surveyed companies admitted that invoices tend to reach them in digital form, while 89% regularly receive paper sheets as well. Only 17.2% of respondents received and were able to process e-invoices. The situation is even dimmer with electronic checks. Only 9.6% of companies receive them.
“Habits are very powerful and they change slowly, even if sticking to outdated methods has become troublesome. Preparing and printing invoices or delivery notes on a sheet of paper is not only more time-consuming, but also slows down the flow of money. If the e-invoice enters the client’s accounting system within a few seconds and can be immediately transferred for payment, then the path of paper documents to the payer may take several days, and its data must still be manually entered into the accounting system. The circulation of e-invoices is certainly an area that is worth creating for every growth-oriented company in order to speed up cash flow and make the work of accountants easier,” emphasizes Viesturs Slaidiņš, head of Jumis Pro.
It is interesting that nowadays electronic invoices are sent not only by e-mail, but also through other communication channels. Half of the respondents reveal that they occasionally receive invoices on the WhatsApp app.
The survey was conducted in May 2023 and 209 Latvian companies participated in it.
