Within the Public Relations Department, the Press Department and the editorial department of the Communications Department have the main missions of promoting the actions and policies implemented within the City of Nice and the Metropolis. Nice Côte d’Azur via the media or various communication supports, to explain its policies to the population, and to develop the municipal magazine, the neighborhood magazine and the Metropolis magazine.

As a shared management assistant, you will participate in the administrative management of the Press Department staff, you will provide telephone reception for management, you will create and update the media contact database, and will participate in the work general management.

Your main missions will be:
* Participation in the administrative management of personnel:
– You will organize the team’s schedule in conjunction with managers and HR (vacations, on-call duties, etc.);
– You will centralize absences and the dissemination of information to the human resources correspondent;
– You will centralize and manage the department’s supplies.

* Direct and telephone reception:
– You will provide telephone reception and centralize media requests for transmission to the press officer in charge of the file as well as to the director;
– You will screen phone calls and take messages for both departments.

* Maintaining your superiors’ diary:
– You will arrange appointments;
– You will reserve meeting rooms, send invitations to people.

* Monitoring the archiving and classification of elements sent by the two services:
– You will archive and monitor press releases, invitations and press kits, and ensure their posting online;
– You will ensure the paper and computer archiving of the files of the two services.

* Handling of grievances:
– You will transmit grievances to the competent agents;
– You will electronically record mail flows within management.

* Creation of files:
– You will prepare files;
– You will collect cross-functional information;
– You will harmonize files;
– You will ensure reprography.

Evolutionary mission:
– You will have to be a source of proposals to improve the work of management and the editorial department;
– You will put in place tools for better service efficiency.

Experience: Experience desired in a similar position.
Degree field: Bac Pro Secretarial / BTS Executive Assistant.

SKILLS :
– You know the functional organization of the Town Hall and the Nice Côte d’Azur Metropolis;
