The creation of an apartment building profile on AADE’s myHeating platform, with the correct entry of the VAT number of the administrator or the company that has taken over the management of the apartment building, is the first step to open the door to the heating allowance for beneficiaries who live in apartment buildings in which there is a common burner . In case each apartment has its own burner then the procedure is completely different as each beneficiary makes his own application as a resident of a single-family house.
On AADE’s myheating platform, the managers/representatives of apartment buildings in which there is a common burner choose the Apartment Mileage Management application. With this application, the administrator – representative enters the apartments of the apartment building / small apartment building, as well as the participation of each of them in the heating costs in millimeters.
Apartment managers and tenants should be aware of the following:
1. Administrators are obliged to declare the thousand participation in heating costs for all apartments of an apartment building to create its overall picture. The allotment should be valid for the entire year and the total of thousands of apartments must be 1000 for the payment feature to be activated. Data cannot be changed. The names are indicative and do not affect the application. In the event that the names of previous tenants appear in the apartment building profile, then the administrator should inform the new tenant (if he wishes to apply) about the apartment number that he should choose in the apartment building profile (let him write the full name of the previous tenant).
2. Managers or representatives of apartment buildings or apartment building management companies declare the following information to myheating:
– The tax registration number of the administrator or the person representing the apartment building or the management company of the apartment building.
– A.F.M. of the apartment building, if any.
– The number of the shared electricity supply or an electricity supply corresponding to the apartment building.
– The thousands of participation of the apartments in the heating costs.
– The full name of the natural persons residing in the apartments which are not used as business accommodation.
After completing the above information, the payment process is activated. This activation cannot be done after December 6, 2024.
3. The payment option is activated when at least one beneficiary application has been submitted. You can see this by the “Application exists” indicator to the right of the apartment details.
4. In the documents for the purchase of heating oil, the VAT number and public electricity supply number should be the same as those entered in the Heating Kilometers Management.

In the event that a VAT number has been issued for the multi-dwelling house and you want the heating oil purchase documents to be issued to it, you should define the VAT number of the multi-dwelling house in the profiles, selecting the relevant link “Define VAT number”. After that, the apartment building VAT number cannot be changed or deleted. ATTENTION! Even in the event that an apartment building TIN has been assigned, the TIN of the manager/representative will be indicated on the tenants’ applications.
6. Activation of the payment process is not required in case of electricity subsidy.

7. In case of a change of administrator, a new apartment building profile must be created by the new administrator. Tenants/owners will submit their applications to the new profile created with the VAT number of the new manager. The new admin should not forget to activate the payment feature as this is a new profile. ATTENTION! If the administrator changes after 6 December 2024, when the application deadline ends, then any heating oil purchases made up to 31 March 2025 must be issued to the previous administrator’s VAT number, otherwise no crossover will occur.

8. In the event that there is no administrator in the apartment building, it should be agreed with all tenants/owners who will “take over” the role of the administrator in order to create, through the myHeating platform, the profile of the apartment building with the apartments, heating millimeters, etc. .etc..
9. In the event that there is no shared electricity supply in the apartment building, it should be agreed with all tenants/owners, whose electricity supply number (usually the manager/representative) will “play” the role of the shared supply to be declared in the profile of the apartment building.
10. In their application, households that pay the heating expense through shared users, additionally enter the number of the receipt of payment of shared users or alternatively the number of their payment notice (if a payment receipt has not already been issued when the application was submitted), the VAT number of the administrator or the person representing the apartment building or the apartment building management company, as well as the amount attributable to the beneficiary.
11. When the heating in the apartment building is done with any of the other types of fuel, apart from heating oil and electricity, the applications of all beneficiaries are made as in single-family houses. The application does not prevent the administrator from creating an apartment building profile, but it is not required as the heating millimeters are included in the amount attributable to the beneficiary and will be entered by the beneficiary himself (not by the administrator) through the MY DOCUMENTS application.
12. In the event that in the apartment building each apartment has its own burner, each tenant/owner makes a separate application as a resident of a single-family house and must obtain the type of heating fuel with different purchase documents.
13. In a two-family house where there is an electricity supply, the application is made by a beneficiary who receives the heating allowance for electricity.
