RESPONSABILITES :
- Ensure that the references of the children, godparents/godfather/godmother’s country on the letter forms are correct;
- Translate Sponsorship communications in accordance with the Child Sponsorship Manual at Plan International Guinea and in the spirit of the sender;
- Translate from French to English or from English to French at least 50 letters per day that sponsored families/children send to their sponsors or that sponsors send to their sponsored children in compliance with the policy and principle of the Sponsorship manual at Plan International Guinea;
- Perform the reading by comparing the previous digital data with those newly collected for updating the information of affiliated children (SCI/SCU) and validate on a coherent logic;
- Reject, record any communication that does not comply with sponsorship standards and report to the Sponsorship Coordinator who will use it for continuing training and evaluation of Volunteer Secretaries;
- Based on the findings/rejections, strengthen the capacities of the Volunteer Secretaries in relation to the shortcomings and note in the register with the signature of the beneficiary Volunteer Secretary(s);
- Prepare the weekly activity report including the number of communications processed by type, rejections, capacity building of volunteer secretaries and all other activities carried out during the week within the framework of the Sponsorship and send it to the Sponsorship Coordinator for analysis and action;
- Ensure that any communication processed does not give rise to any negative reaction from donor or sponsoring countries (NOI);
- Update the archives room by classifying and/or removing stubs from children’s files;
- Ensure the quality of photos before processing them in CDPET and submitting them to the system;
- Make CD-PET photos of at least 90 children per day;
- Read all letters to be transmitted without translation to ensure appropriate content in accordance with the Child Sponsorship Manual at Plan International Guinea;
- Enter and place in the Child Data database at least 90 photo communications per day;
- Sort, label and dispatch letters from sponsors;
- Respect and enforce all policies in force at Plan International Guinea.
IN MATTER OF SAFEGUARDING CHILDREN AND PROGRAM PARTICIPANTS:
Responsibilities related to the Safeguarding/PHEAS policy for children and programme participants
As a staff member
- Report any child abuse or protection concerns in accordance with local office procedures and this policy. Plan staff may also use Plan’s whistleblowing policy in this event.
- Ensure that contact with a child or family member associated with Plan’s work is supervised by a Plan staff member (or another) member of staff. This may include visits and any form of communication through social media, emails and letters.
- Ensure the analysis and documented management of risks related to the protection of children and programme participants in the periodic programme/project risk management process at all stages of the programme/project cycle.
- Ensure the effective implementation of the standards for applying the Safeguarding/PHEAS policy applicable to the management areas under its responsibility (see standards manual)
- Provide full and confidential cooperation in the event of an investigation into a problem or suspected abuse.
- Work with managers to identify which Child Safeguarding/PHEAS standards and indicators apply to their area of responsibility
- Strengthen communication on the code of conduct and monitor its adherence
- Visibly demonstrate and encourage a culture of openness and awareness for all.
