Changes when retrieving the electronic certificate of incapacity for work (eAU)

As of January 2023, the legislature made it mandatory for employers to access the certificate of incapacity for work (eAU) electronically. Before the introduction of the eAU, the process of reporting sickness was much more complicated and time-consuming. Through digitalization with the ZEUS® Workforce Management software solutions from ISGUS This cumbersome process is now a thing of the past. The legislature has now decided on further steps to simplify the eAU procedure, which are approved by the ITSG implemented into a specification sheet became. We implemented the changes contained therein in ZEUS® in good time before they came into force.

The Roles of the ITSG
The information technology service center of the statutory health insurance companies (ITSG) is responsible for the telematics infrastructure and develops products for electronic data exchange between employers, service providers and health insurance companies. It defines the requirements according to which the electronic certificate of incapacity for work (eAU) must be retrieved.

The updated software solution ZEUS® was accepted by the ITSG on September 12, 2024 and will be available to our customers from November 2024.

The following functions have been newly added

  • Hospital stays (inpatient and day-patient): As soon as the message from the health insurance company arrives via the GKV server, the expected discharge date is automatically transferred to ZEUS® via the interface and highlighted in color. After the hospital stay ends, the period of the measure is automatically updated. A new query is not necessary. The HR administrator is informed via push message and email and immediately has all relevant information at hand.
  • Sickness notifications from abroad: Sickness notifications from abroad can now also be processed without any problems. They are integrated into the ZEUS® system via the interface of the GKV server.
  • Rehabilitation and preventive measures: In the case of rehabilitation or preventive measures, the provisional end of the measure is first reported. This is displayed in the calendar in the same way as the reason for reporting and is displayed in green in the system. After receiving the final end date of the action, the report can be updated manually. The user is prompted to request the eAU. If this is available, it is automatically displayed in color in the ZEUS® system.

Important deadline: December 1st, 2024
From December 1, 2024, all old formats of the incapacity for work certificate will no longer be valid. With the ZEUS® solution from ISGUS, companies are on the safe side because only certified companies are allowed to handle this process digitally.
