The fact that this function is built-in does not mean that it is wise to use it. And indeed, I don’t see email as the way to keep important things. Do this at least in a CRM package, so that it can always be related to the right customer. In the email it can easily get lost or end up in the wrong place, when I still did service desk work (at a G4 municipality), this happened regularly.

It’s too easy to lose it in the email (accidentally moved to another folder/customer, or worse, deleted, causing the IT department to have to restore from the backup, which is a hell of a job for email, especially with larger companies).

You also push important physical mail into an archive folder and then store it in a special archive, or leave it among the rest of the mail or just put it in the cupboard, where oxygen and light have an influence. and the mail still slowly decays or becomes unreadable? :)

Although you would also prefer to digitize it, so that you store it somewhere safe, it does not take up too much physical space and you can make backups of it.

Also, not everyone stores such messages/information in a central location where more people can access it. People prefer to keep it themselves, in their own archives, because “they might need it again one day.” That’s all fine, it can also be looked up in a decent archive system.
