Permanent position – Quebec office

Fasken is looking for an assistant to support the Managing Partner of the Quebec City office in his administrative management and to provide legal support to members of the Business Law team.

Your responsibilities

  • Organize and coordinate meetings, including the preparation of equipment and travel logistics when required;
  • Perform meticulous monitoring of the management of calendars and emails;
  • Write or translate documents relating to general administration;
  • Write, revise and correct various legal documents. Perform dictations and transcriptions;
  • Follow files and assist the team with transactions and closings. Carry out conflict research. Prepare letters of commitment and open clients / files;
  • Prepare expense reports and follow up for the payment of invoices;
  • Make time entries, as needed;
  • Perform all other related administrative tasks.

Required profile

  • Diploma in secretarial work, office automation or equivalent training (ASP in legal, an asset);
  • Minimum of five (5) years of experience in a similar position within a professional services firm;
  • Excellent knowledge of the Microsoft Office Suite;
  • Perfectly bilingual (French and English) both orally and in writing;
  • High level of professionalism, discretion and tact;
  • Concern to offer quality customer service;
  • Excellent interpersonal and communication skills and ability to deal with various stakeholders;
  • Good organizational skills, ability to manage several files at the same time and meet deadlines;
  • Rigor, autonomy and proactivity.
